How to create an event plan that works

A solid event plan is the backbone of every successful event. It keeps everything organized, divides responsibilities, and helps prevent stress at crucial moments.

Think of it as your event’s practical action plan. While the program shows what will happen, the plan explains how it will happen – from setup to breakdown. Who does what, when, and with whom? With a clear plan, everyone knows exactly what to expect, even if something unexpected happens.

Step 1: Start with the basics

Before diving into the details, start with a solid foundation. A good event plan begins with a clear overview of your event’s goal, target audience, and overall program. These are the building blocks for every decision that follows – from logistics to communication.

Briefly describe why you’re organising the event and who it’s for. Is it about connection, promotion, or celebration? Once that’s clear, you can outline the main flow of the event: what happens when, and in what order.

Tip: Use clear headings for each part of your event, such as Catering, Technical Setup, Setup/Breakdown, and Marketing. It might sound obvious, but it keeps your plan organised and makes it much easier to update as your preparations progress.

Step 2: Assign tasks and roles

An event plan only works when everyone knows their role. By clearly defining tasks and responsibilities, you avoid confusion and keep control on the day itself.

For each part of your event, list who’s responsible for what. For example:

  • Technical: lighting, sound, and equipment
  • Catering: food, drinks, and waste management
  • Permits and safety: contact with local authorities, first aid, emergency plans, and insurance
  • Communication: social media, press, and visitor information

Include names and phone numbers for everyone involved. That way, people know exactly who to contact if there’s a problem – saving time and stress when things get hectic.

  1. Preparation – meetings, orders, program, and supplier coordination
  2. Setup – venue preparation, technical setup, catering, and decoration
  3. The event – start times, performances, breaks, and announcements
  4. Breakdown – cleanup, returning materials, and evaluation

Use a planning tool like Excel, Google Sheets, or Trello to visualize the timeline. Build in some flexibility – something unexpected always happens. And by noting who is responsible for each task, you make sure nothing slips through the cracks.

Step 4: Add emergency scenarios

No matter how well you plan, things can always go wrong. Bad weather, a sick performer, a power cut, or an injured guest – every event comes with risks.
